Outlook Calendar Integration allows a 2-way synchronization between a user's Microsoft Outlook Calendar and that user's events in Kapta (Actions and Tasks Due Dates, and QBR Dates).
Turning on Outlook Calendar Integration in Kapta:
While in Kapta, choose Settings / Configuration
Click the Edit link for Integrations.
Use the slider to enable Teams integration.
On the Outlook Calendar Settings, add each of the required fields. Details on where to obtain this information is listed below.
Azure API Settings
These settings can be found within the Azure Portal for your administration.
Enter the App Registrations section and select an existing registration you'd like to use for this Kapta integration, or follow this link to create a new registration: Add New App Registration
The following 2 items are found on the Overview menu in the App Registration screen:
- Microsoft Tenant ID
-
Microsoft Client ID
The following item can be found (or set up) on the Certificates & Secrets menu in the App Registration screen.
- API Secret ID
Client secret values are only revealed during creation, so if the value is not saved separately, a new client secret may need to be created. For Kapta, make sure you select the Value and not the Secret ID.
In addition to the above settings, API Permissions must be set to at least allow the following:
- Calendars.ReadWrite
After adding the above permissions, an Azure Admin must also click Grant Admin Consent. When complete, the Status of the new permissions should have a green check mark and show that consent was granted.
Setting Up Users:
In most cases, Kapta users will be using the same email addresses they use for Microsoft Email and Calendar. In these cases, connection to the Outlook Calendar should happen automatically. However, it is also possible to associate a specific Microsoft User ID with a Kapta User. This must be done by a Kapta Administrator. For more information, see the following.
Connecting a Microsoft User ID with a Kapta User
First, a Microsoft Administrator will need to identify the Microsoft User ID of the user. To do this, enter the Microsoft Entra Admin Center, and select the desired user.
The User ID (Object ID) can then be viewed and copied from the user's detail screen.
Once the user's Microsoft User ID has been identified, a Kapta Administrator can update it by locating and editing the user in Kapta through the Data > Users menu.
Edit the applicable user, then check the box to enter a Microsoft ID for the user and enter the Microsoft User ID identified above.
User Calendar Selection:
When all settings have been completed and the calendars are correctly synchronizing, users can also select which of their calendars they'd like Kapta events to display on.
Users should first select their profile page from the top-right corner of Kapta.
Next, they should select Edit Details from their profile page.
They can then select from any of their available calendars.
