Understanding Account Risks
Account risks in Kapta help you identify, track, and address potential threats to your customer accounts. These warnings about dangers to account success provide crucial visibility into challenges that could negatively impact your account's performance and health score.
Creating and Managing Risks
Adding a New Risk
You can add an account risk in three convenient ways:
- Click "Create New" and select "Risk" from anywhere in Kapta
- Navigate to the portfolio-level risk list by clicking "Risks" in the left menu
- Open an account, go to the "Risk" tab, and click "Start Risk"
Note: Only one active risk can be assigned to an account at a time. A risk must be closed before a new one can be created.
Required Risk Information
When creating a risk, you'll need to provide:
- Risk Reasons: Assign one or more reasons, arrange their importance, and add custom reasons if needed
- Details: Enter specific information about the risk in the description field
- Status: Set as "Open" when creating, "In Process" when mitigation begins
- Assignment: Designate responsibility to the account owner or another team member
Depending on your administrator's configuration, additional required fields may include:
- Severity
- Likelihood
- Priority
Risk Lifecycle Management
Tracking Active Risks
- Active risks are listed on the "Risk" tab when an account is open
- A risk icon appears on the account name and in other locations like the accounts list
- The "Contract Expiration" field displays the farthest end date for all active account contracts
Documenting Progress
- Add quick notes about a risk and save them directly
- Use "Add Details" for complete note functionality
- Highlight text to convert it to tasks, actions, or goals
- Notes automatically appear in the account's Notes tab
Resolving Risks
- Click "Edit Risk" and update the status to a closed option
- Select resolutions related to the risk reasons
- Enter custom resolutions if needed
- Save changes to move the risk to the Prior Risks section
Note: The "Remove" option will permanently delete the entire risk record.
Viewing and Analyzing Risks
Account Level
- View individual account risks on the Risk tab
- Edit certain fields directly in the risk detail section
- Click "Edit Risk" to update all details, including status
- For prior risks, click the status to open its details page
Portfolio Level
The portfolio-level Risks page provides:
- Risk overview details for accounts defined by your account filter
- Number of risks and their closed statuses
- Total affected contract values
- Risk table that can be sorted and exported
Alternative Views
The portfolio-level Risks page offers two powerful viewing options:
- Table View: Standard list view with sorting options
- Board View: Sort risks by severity, status, likelihood, or priority with a relevant secondary filter, and drag risks between sections
Reporting Options
Access risk reports from multiple locations:
- From the risk details page
- From the account-level reports list
- At the portfolio level (Portfolio Risk Report)
All available reports are configured by your administrator and provide valuable insights into risk patterns across accounts.
Impact on Account Health
While detailed in a separate video, it's important to note that active risks can negatively impact an account's health score, highlighting the importance of prompt risk management.
