Understanding QBRs
Quarterly Business Reviews (QBRs) in Kapta provide a structured way to document and track account progress meetings with customers. This feature serves as a generic term for various types of account review meetings, enabling you to manage the entire meeting lifecycle from scheduling to analysis.
Impact on Account Health
The rating of your most recent QBR directly contributes to an account's health score, making QBRs a critical component of effective account management. Each meeting is rated upon completion, providing valuable metrics to assess customer relationship status.
Creating a New QBR
Basic Setup
- Open the correct account
- Navigate to the details tab
- Scroll to the QBR section
- Click "Add QBR"
Required Information
- Meeting Date: When the QBR will occur
- QBR Owner: Defaults to account owner but can be changed
- Type and Stage: Configured by your administrator
- Description: Optional but recommended for context
Participant Management
- Default contacts from previous meetings of the same type are automatically included
- Default internal contacts are pre-populated based on prior meetings
- Both participant lists can be edited as needed
QBR Details Page
After saving a new QBR, you'll be taken to the meeting details page which includes:
- Meeting summary
- Complete button
- Edit QBR link
- Meeting notes section
- Previous meeting summary (if applicable)
- Agenda or checklist (if configured by administrator)
- Current SWOT and VOC sections
Managing QBR Information
During and After Meetings
- Enter or dictate notes directly in the meeting notes section
- Highlight text to convert it to tasks, actions, or goals using the three icons that appear
- Make post-meeting updates to SWOT or VOC in the account review section
- Add plans or tasks that will appear in their respective account sections
Document Management
If enabled by your administrator, you can:
- Use email templates for communications
- Add relevant documents
- Include additional notes beyond the standard meeting notes
Completing a QBR
Completion Methods
- Click the "Complete" button on the meeting details page
- Hover over the QBR in the account details tab and click the "Complete QBR" icon
Completion Process
When a QBR is marked complete:
- A completion tab is added to the edit QBR window
- The meeting owner can add ratings, adjust attendees, and update notes
- A tentative date for the next meeting can be set
- Options to request ratings from other internal attendees may be available
- Email meeting notifications can be sent to participants
After Completion
- Ratings appear at the top of the QBR details page
- The QBR rating is included as a health score factor on the account
- Completed QBRs show both their rating and the tentative date for the next meeting
Viewing QBRs
Account Level
- Scheduled and completed QBRs are listed chronologically in the QBR section
- Hover over a QBR to see icons for editing settings or completing the QBR
- Click "View Details Page" to access full meeting information
Dashboard Integration
- QBRs appear on the dashboard home tab calendar
- The calendar can be filtered to show only QBRs
- Click a QBR on the calendar to open its details page
Portfolio Level
The QBRs page at the portfolio level provides:
- QBR details for all accounts (or filtered accounts)
- Overview of QBRs by account
- Trends and percentage coverage analytics
- Sorting options by account, date, rating, etc.
- Filtering options for scheduled or completed meetings
- Calendar view of the QBR schedule
Reporting Options
Reports for QBRs are configured by your administrator and can be accessed at:
- Portfolio QBR level (Portfolio QBR report)
- Account level (Account QBR report)
Administrator Configuration
The QBR feature is highly configurable by administrators, who can set:
- Mandatory fields
- QBR types and stages
- Agenda templates
- Rating options
- Report availability
- Email notification settings
