Understanding Filters in Kapta
What Are Filters in Kapta?
Filters are powerful tools that allow you to narrow down the data displayed in Kapta, helping you focus on exactly what you need. Filters can be applied throughout the Kapta UI to various data types including accounts, contacts, events, tasks, actions, contracts, opportunities, notes, and more.
Default Data Display
By default, the Kapta dashboard and initial views display information from all accounts across your portfolio. This comprehensive view can be refined using filters to show only the most relevant data for your current needs.
Types of Filters in Kapta
Standard Account Filters
Kapta provides several pre-configured filters:
- All Accounts: Displays data from all accounts you have access to
- My Accounts: Shows only accounts where you are the owner
- My Contributing and Owned Accounts: Displays accounts you own or contribute to
- My Contributing Accounts: Shows only accounts where you are a contributor
Admin-Configured Filters
Administrators can create additional filters available to all users in your company.
Examples include:
- Account filters like "Strategic" or "North America East"
- Contact filters like "Decision Makers" or "Advocates and Supporters"
Custom Filters
Any user can create personal custom filters based on criteria such as:
- User roles (e.g., accounts where specific people are contributors)
- Data attributes (e.g., accounts with defined risks)
- Custom fields configured by the admin (e.g., revenue, budget, volume)
- Products associated with accounts
Filter Persistence
Account Filters (Portfolio Level)
When you apply an account filter, it remains active throughout the entire Kapta platform until you reset it. This means any section you navigate to will display data limited by your active account filter.
Filters Within an Account
Filters applied within a specific account (e.g., contact filters, note filters) remain in place in that account until reset, but do not carry over to other accounts.
Creating and Managing Custom Filters
- Creating a Filter: Click the "Add Filter" link at the bottom of the accounts filter list
- Setting Criteria: Select from available options (contributor, risk, custom fields, products)
- Saving for Future Use: Give your filter a name before clicking save
- If you save without a name, the filter will be applied but not saved for future use
- Editing or Deleting: Click the edit icon next to your saved filter to modify or delete it
Specific Filter Applications
Different areas of Kapta offer specialized filtering options:
Within an Account
- Key Players and Contacts: Filter by standard options ("Primary Contacts") or admin-configured options ("Decision Makers")
- VOC Responses: Filter by "Active" or "Archived" status
- Contracts: Filter by "Active" or "Archived" status
- Opportunities: Filter by status (Active, On Hold, Closed Won, Lost)
- Notes: Filter by type, subtype, or author
- Tasks: Filter by current, completed, system tasks, or my tasks
- Account Plan: Filter by all or specific types of actions
At Portfolio Level
- Contracts List: Filter based on name, value, expiration, and custom fields
- Opportunities List: Apply various status and attribute filters
- Metrics, Risks, and Products: Apply specific filters to these data types
Best Practices for Using Filters
- Check Filters When Data Looks Wrong: If data appears incorrect or incomplete, always check your current account filter first
- Set Account Filters First: Always ensure the correct account filter is set before adjusting other filters
- Reset Filters When Needed: Remember to reset filters when you want to return to viewing all data
- Name Custom Filters Clearly: Use descriptive names for your custom filters to easily identify them later
Important Notes
- When an account filter is applied at the portfolio level, other filters (like contracts) will only be applied to the accounts matching your account filter
- Not all filter types can be customized - options depend on what your administrator has configured
