Once you've established account details such as key players, contracts and opportunities, SWOT and Voice of Customer answers, the next step is to formulate action plans. This video covers the types of plans and goals available in Kapta, and how to generate goals, objectives, and actions, either from templates or from scratch.
Action Plans in Kapta
Understanding Action Plans
Action plans in Kapta represent the "Act" component of the "Know Act Measure" process. They provide a structured framework for collaborating with customers to achieve both their strategic goals and your internal company objectives.
Plan Hierarchy Options
Kapta offers three levels of hierarchical structure for action plans:
- Basic (One-level): Goals serve as both goals and actions
- Intermediate (Two-level): Goals contain actions
- Advanced (Three-level): Goals contain objectives, which contain actions
For most users, the intermediate level provides sufficient structure while maintaining simplicity and clarity. Your Kapta administrator configures which level is appropriate for your organization.
Plan Types and Sections
Action plans are organized into plan types (also called plan sections) that are configured by your administrator. These typically fall into two categories:
- Plans that further your customers' strategic goals
- Plans that further internal goals for your own company
Creating Plan Goals
Kapta offers multiple methods for creating plan goals:
From Scratch
- Navigate to the plan tab of an account
- Click "Add Goal" in the desired plan section
- Enter the required information
Using Templates
- Click "Launch Template" in a plan section
- Select from available templates, these are configured by your administrator
- Templates can be customized after launching to fit specific needs
From Contracts or Opportunities
- Click "Create Plan" directly from a contract or opportunity on the account details tab
- A link to "View/Edit Plan" will appear
- Plans created from contracts display a money icon, while those from opportunities show a funnel icon
From Existing Text
Highlight actionable text in various locations (notes, SWOT analysis, VOC responses, QBR notes/risks) and select "Add as Goal" (or task/action).
Managing Goals
Goals appear under their respective plan sections with several management options:
- Include/exclude the goal in the customer report
- Collapse/expand the goal hierarchy
- Reorder goals within a section
- Filter actions within a goal (active, upcoming, completed)
- Complete, edit, or copy the goal to other accounts
- In advanced plans, add child objectives
Working with Actions
Starting and Tracking Actions
- Actions initially appear grayed out
- Click the "Start" icon to begin tracking
- Once started, actions can be updated with:
- Percent completion
- Status changes
- Status notes
- Owner reassignment
- Due date adjustments
Action Management Options
- Mark as complete
- Edit action name/description
- Link one or more account key players
- Access custom fields on the "More Info" tab
- Open the action details page for comprehensive updates
Tasks: The Building Blocks
Tasks are smaller actions typically completed quickly:
- Added to actions for granular tracking
- Inherit due dates from parent actions (can be changed)
- Can be reassigned to different team members
- Support recurring schedules
- Can be marked complete or completed with a note
- Completed tasks disappear from their action but remain visible on the tasks tab
Progress Tracking and Calculations
Action plan progress is calculated automatically:
- Within an objective, actions are weighted equally
- Goal completion is based on total action progress
- Progress rolls up through the hierarchy
- Setting an action to 100% complete doesn't automatically close it; it must be marked as complete
Viewing and Filtering Options
Plan Tab Views
- Filter each plan section by action status (all, active, upcoming, completed)
- Download all plan data using the download icon
List View
- Displays all actions from all goals
- Provides filtering and sorting options
- Allows for updates and task additions
Swim Lane View
- Presents a color-coded timeline of all goals, objectives, and actions
- Can be downloaded as an image
Reporting Options
Action plan data appears in several reports:
- Profile report
- Action plan report
- Customer report
- Timeline report
Available reports are configured by your administrator.
