Notes in Kapta : Documenting Account Activity & Collaboration
Overview
Notes in Kapta are essential for documenting customer interactions, maintaining transparency, and tracking account activity. They create a comprehensive record that helps your entire team stay informed about what's happening with your accounts.
Why Notes Matter
- Team Communication: Provides a transparent record of account activities

Creating Notes
Notes can be created from multiple locations:
- Click the big orange button "Create New" from anywhere and select "Note"
- Account's Notes tab
- Contact's profile page
- Action details pages
- Task details pages (quick notes)
- Opportunity section
- Risk tab (when active)
- QBR feature
Required Information
When creating a note, you'll need to provide:
- Title
- Activity Type (Generic, Meeting, Phone, Email, Document)
- Date (if different from current date)
Optional Fields
Enhance your notes with:
- Subtype: Admin-configured categories with template text
- Contacts: Link relevant contacts so notes appear on their profiles
- Team Members: Include colleagues who should be aware
- Files/Documents: Attach relevant files
- Email Copy: Send note to team members
- Custom Fields: Additional fields configured by your admin
Email Integration
Automatically create notes from emails by:
- BCCing Kapta@Kapta.com when emailing contacts *check your Kapta notes section to see what custom email address your organization uses for BCCing
- Using your organization's custom email setup
Note: The recipient must be set up as an account contact for this to work.
Advanced Features
- Text Formatting: Style your note content as needed
- Voice Dictation: Use the microphone icon for verbal input
- Create From Note Text: Highlight text to create Tasks, Actions, or Goals
- Note Linking: A single note can appear in multiple locations
- Quick Notes: Add simple notes from contact profiles or check-in tasks
Finding Notes
- Search: Use the notes tab search or global search
- Filtering: Filter by note type, subtype, or author
- Reporting: Generate note reports or account-level reports
